Privacy Policy
Purpose
Groupe RBH inc. (“we”) collects personal information when you fill out one of the forms on this website. This policy explains what we collect, why, who receives it, how long it is kept, and what rights you can exercise.
It is issued in accordance with Quebec's Act respecting the protection of personal information in the private sector, as amended by Law 25.
Privacy Officer
The following person is responsible for the protection of personal information at Groupe RBH and handles any access, correction or complaint request:
Maxime Bédard, President
You may reach them by email or phone using the contact details at the end of this policy.
Information we collect
We only collect what you voluntarily send us through a form. No account is created and no payment is processed on this website.
- Contact form
- Name, email address, phone number and the content of your message.
- Nearest retailer request
- Email address, city, product sought and an optional message.
- Retailer partnership request
- Company name, contact name, email address, phone number, city and an optional message.
We collect no sensitive data: no health information, no banking details, no social insurance number. Please do not send any through these forms.
Purposes
Your information is used solely to:
- answer your question or information request;
- direct you to the retailer nearest you;
- assess and follow up on a business partnership request;
- keep a record of our exchanges with you.
It is never sold, rented or traded, and is not used for advertising profiling.
Consent
By submitting a form, you consent to our use of the information provided for the purposes described above.
You may withdraw this consent at any time by writing to us. Withdrawal ends any future use of your information, without affecting what was lawfully done beforehand.
Sharing with third parties
Your information is transmitted only to the following recipients:
- Web3Forms
- A delivery service that turns the form submission into an email to our inbox. The data passes through its servers, located outside Quebec.
- Our customer relationship management system
- Retailer and partnership requests create a follow-up record there. This system is operated by Groupe RBH.
Using Web3Forms involves communicating personal information outside Quebec. We selected this service because it does not retain submission content beyond delivery.
We may also disclose information where required by law, in particular under a court order.
Retention
We keep your information only as long as necessary for the purpose for which it was collected. Periods vary by type of record:
- General information request
- Two years from the last exchange. This covers any follow-up on your part without keeping your contact details beyond their usefulness.
- Unsuccessful partnership request
- Three years, the limitation period applicable to a contractual claim in Quebec.
- Active retailer record
- For the duration of the business relationship, then six years, in accordance with the accounting record retention requirements of the Canada Revenue Agency and Revenu Québec.
At the end of these periods, the information is destroyed or anonymized.
Security
The site is served over HTTPS: data entered in a form is encrypted in transit.
Access to received requests is limited to members of our team who need it to reply.
No system is infallible. In the event of a confidentiality incident presenting a risk of serious injury, we will notify the individuals concerned and the Commission d'accès à l'information, as required by law.
Your rights
With respect to the information we hold about you, you have the right to:
- obtain access to it (right of access);
- have it corrected if it is inaccurate, incomplete or ambiguous (right of rectification);
- withdraw your consent to its use;
- request its deletion where its retention is no longer justified;
- receive a copy in a structured, commonly used technological format (right to portability);
- request that its dissemination cease or that it be de-indexed where the law allows.
To exercise any of these rights, write to the privacy officer at the contact details below. We reply within 30 days of receiving your request. We may ask you to confirm your identity before acting on it.
Automated decisions
No decision concerning you is made solely on the basis of automated processing. Every request received is read and handled by a member of our team.
Cookies and tracking
No audience analytics tool, no advertising pixel and no third-party tracker is currently active on this site.
The cookie banner nonetheless records your choice by category. That choice is stored locally on your device, is transmitted to no one, and spares you the question on every visit.
We plan to add an audience measurement tool. Should we do so, it will load only if you have granted the corresponding category: technically, no tracking script can run without that consent. You may withdraw it at any time from the banner.
Changes
This policy may be amended to reflect a change in our practices or in the law. The update date appears at the top of the page. In the event of a significant change, we will inform the individuals concerned.
Complaints
If our response does not satisfy you, you may file a complaint with the Commission d'accès à l'information du Québec.
